Frequently asked questions

Am I allowed to work while studying?
During term time, students are limited to working 20 hours per week. This may be less depending on your visa requirements.
Am I allowed to work while overseas?
You are not allowed to work while overseas unless you have received express permission from your faculty. More information can be found here.
As a minimum criterion, if you want to register to King's Teachers you must have a UK address and UK bank details under your name.
If I'm an Overseas Student, can I work while in the UK?
If you hold a Tier 4 visa, and your visa states that work is permitted, then you can work. If you are doing a full-time degree-level course, then you should be able to work 20 hours per week during term time, and full-time during your vacations. If you are doing a course that is below degree level (such as a foundation course or Pre-sessional English course), then you should be able to work 10 hours per week during term time, and full-time during your vacations. The key is to check your visa sticker and/or Biometric Residence Permit.
If you are in the UK as a standard visitor or as a short-term student, you will not be able to do any work.

Yes, King’s is registered as the data controller with the Information Commissioners Office and King's Teachers will act as the data processor on King’s behalf to:
  • Securely store personal data on encrypted servers in UK ISO27001 certified data centres
  • Handle consent and communication preferences in compliance with General Data Protection Regulation (GDPR)
  • King's Teachers will ensure compliance with all relevant data protection legislation and suitable security protection to prevent unauthorised access to the payroll service, profiles and records.
  • Bank details are stored in an encrypted format blowfish encryption algorithm and only ever displayed back using the last few characters, e.g. XX-XX-75 (sort code) XXXX9876 (account number).
  • All data is captured and sent using 128 bit SSL encryption.
  • Passwords are encrypted using md5 message digest algorithm.

    If you miss the deadline, you can submit the hours on the timesheet for the following week. For auditing purposes, the hours will need to be referenced to the week the work was completed.

    Total hours will be stated in each teaching assignment, typically one line per module. When you accept your first assignment, you will receive your employee contract.

    Any postgraduate research student who is engaged in educational support of some form within the university can register and be employed at King’s as a GTA. See our GTA framework principles for more details. King's Teachers is available for the King's Language Centre HPLs to register.

    Yes, the pay rate of £20.02/hour, inclusive of London Weighting Allowance (LWA), still applies.

    1. If you already have an active profile with King’s Talent Bank (KTB), this profile can also be used for King's Teachers (KT). You will need to request your profile log-in is moved from KTB to King's Teachers by emailing kingsteachers@kcl.ac.uk and once this has been done, you will only need to complete steps 3 and 4 of the registration process.
    2. GTAs / King's Language Centre HPLs registered on PeopleXD, via King's HR, will need to register on kingsteachers.kcl.ac.uk. This will be a quick and easy process, taking about 10 minutes to complete.

    The automatic enrolment and opt-out processes won't change. Further guidance including on how to opt out of the USS Pension scheme is on the support pages.

    Frequently asked questions

    We are is exploring ways to maintain current email addresses and to enable employees to receive a King's email that will integrate with our systems. Arrangements for ID cards are being explored.

    The normal expectation is that full time PhD students can be offered work up to 312 hours in any one academic year, to allow them time to focus on their research and studies. Hours includes all activities listed in the GTA framework.

    Yes, our regulations state what activities a GTA is allowed to do and what they should not do. Please also refer to the framework table of activities, in the GTA intranet page . GTAs will be offered assignments with a workplan that details which activities they are being asked to do, the duration, frequency and number of groups (if applicable). When a GTA claims their hours worked, it will be made clear through a form of timesheet, that they will submit on the platform. GTAs will then be paid in arrears the following week.

    Our GTA employees will be given a single contract at the point they accept their first assignment. New assignments or adjustments to assignments will then fall under that contract, so that only the assignments change not the contract.

    All hiring manager queries are resolved within one working day from receipt. All employee queries are resolved within 2 working days from receipt.
